At Next Trip, we always tell clients the same thing: the smoother your travel admin is before departure, the more relaxed your actual trip will be. A few simple checks can make all the difference.

The first thing to confirm is your passport. In most cases, your passport should be valid for at least six months after your return date, and you should also have enough blank pages for entry and exit stamps or visas. This is one of the easiest details to overlook and one of the most annoying things to fix at the last minute.

If you are travelling with children, make sure you have the correct supporting documents in place. For minors under 18, a full unabridged birth certificate may be required, and both parents’ names need to appear on the document. This is especially important for international travel from South Africa.

Before you travel, it is also worth checking the smaller details that often get forgotten. Do you want your frequent flyer number added to the booking? Do you need a special meal? Would you prefer a window or aisle seat? These are simple requests, but they are best handled as early as possible. That said, seat requests are not always guaranteed, and many airlines only confirm them during online check in or at the airport.

Online check in is another one not to leave too late. Most airlines encourage passengers to check in online before departure to avoid delays at the airport and to confirm final seating. Travel agents can help guide you, but passengers usually need to complete the online check in process themselves because it includes travel declarations and acceptance of the airline’s terms and conditions.

It is also smart to keep your travel documents organised in one place before you go. That includes flight tickets, passport copies, visa paperwork, insurance documents, and any destination-specific certificates you may need. You do not want to be digging through old emails in an airport queue while pretending everything is under control. Nobody believes that performance, including you.

A simple pre travel checklist can take a lot of the chaos out of your departure. Travel should feel exciting, not like an admin ambush. A bit of planning upfront helps you start your trip with confidence and without unnecessary last-minute drama.
